1) Sign in — your board opens automatically. 2) Open Roster and add your staff (type names separated by commas to add several at once). 3) On Board, tap + Add to add rooms, halls, bays or zones. 4) Tap a slot on any area to assign staff. 5) Share the staff QR so everyone sees the live board.
At signup you choose your setting (hospital, skilled nursing/LTC, clinic, surgery center, dialysis, behavioral health, home care & private duty, and more). The board’s vocabulary and layout match it — rooms and zones for hospitals, halls for long-term care, pods for dialysis, visit-based coverage for home care.
Tap a nurse, provider or support slot on any area card and pick people (tap several to add more than one). Tap + Auto-assign to propose a balanced assignment you can review before it applies.
On the Board tab use + Add. Add several at once by separating with commas, e.g. “412, 413, 414” or “Hall A, Hall B, Memory Wing”.
Use Next shift to stage the upcoming shift without touching the current board; advance it when the shift changes. Use Next charge and Note to all staff to pass along context.
Print assignment produces a clean sheet with nursing, providers and support sections — a reliable downtime fallback.
The Tunza — Swahili for “to care for” — is the AI that can build and run your whole shift assignment for you — for any staff mix (nurses, physicians, techs, aides). Open it from the ✨ Tunza button on the Board (charge/manager only). It only handles staffing this board; it will politely decline anything unrelated.
Just talk to it in plain English — it can even set up the whole board from nothing: say “we have rooms 401–418, nurses Maria, James and Priya, techs Bob and Lena” and it creates the areas, adds the staff, and proposes the full assignment. Tap a suggestion like “Build today's assignment” or type things like “rebalance the load”, “Tina called out, cover her rooms”, or “who's overloaded?”. It proposes a full assignment; review it and tap Apply to board to make it live. You stay in charge — nothing changes until you apply, and you can still edit by hand.
Tap the 📎 clip or drag & drop any file — PDF, Word, Excel, CSV, plain text, a screenshot, or a photo of a paper sheet. The AI extracts the names, roles and areas and builds the assignment from them.
The assistant keeps memory of your standing rules (“never give Maria more than 3 rooms”) and honors them in every plan, on every device. It also monitors the live board around the clock and pops an alert the moment an area is left uncovered or someone is overloaded — with a one-tap “Fix it”.
Ask it to switch the theme, set the charge name, post a note to all staff, to the charge nurse, or a handoff note for the next shift, set capacity, remove someone who went home, clear an area — even create a whole new board (“make a board for 3 East”). The only things it will never touch: billing, passwords, signing out, and deleting accounts.
Upload your employee manifest or work calendar once (any format — PDF, Word, Excel, CSV, photo) and tell Tunza “this is our schedule.” It saves it, and from then on builds each day’s assignment automatically from whoever is scheduled to work that shift. With Autopilot on, a fresh board is ready every morning without anyone touching it.
Say “send the staff their link” and Tunza produces the live board links and QR codes — copy, share, or let staff scan right off your screen.
Tunza studies recent shifts — usual pairings, who covers what, typical loads — and mirrors your unit’s patterns. Sudden call-out? It patches the gap by moving as few people as possible, never leaving an area uncovered. And every conversation is remembered: close the chat, come back tomorrow, and Tunza picks up where you left off.
Flip on Autopilot in the assistant panel and the AI stops asking for approval: it applies assignments and fixes immediately, announces exactly what it did, and offers one-tap Undo. Combined with its 24/7 board watch, Autopilot will notice an uncovered area or an overload and correct it on its own. Toggle off any time to go back to review-and-approve.

AI suggestions are decision-support only — a licensed charge nurse reviews every assignment. Never enter patient information; the assistant works only from staff names, roles and room labels. Available on all plans where AI is enabled.
In Roster, type a name (or several, comma-separated), pick a role, and Add. Choose Provider for MD/DO/NP/PA, or Custom… for any role not listed.
Set one staff member as Preceptor and link their trainee (Orienting). The board shows who is training whom.
Open Share / QR. The staff link and its QR open a read-only live view — no login. Staff access lasts 12 hours, then they rescan. Reset the link any time to revoke old ones instantly.
In tool settings (gear icon) you can set an optional code staff enter once to view the board. Either way, staff views are read-only.
Every account starts with a 14-day free trial — no card. When it ends, boards pause (data saved) until you subscribe from Account settings.
Account settings → Subscribe / add payment (secure Stripe checkout). Once subscribed you get Manage subscription to update your card, view invoices or cancel. Cancelling keeps access through the paid period.
Account → Team members. Invitees set their own password and become Managers (boards + assignments, no billing or deletion).
Use the board dropdown to switch; create more with + New board up to your plan’s limit. Rename or delete boards in Account settings.
Assign Smart is designed to work without patient information — it stores only staff names and assignment areas, and blocks patient identifiers. That keeps it out of HIPAA scope for the board itself.
Encryption at rest, hashed passwords, 2-step email verification on sign-in, HTTPS, and role-based access. Read-only staff links never grant edit rights.
