Hotel staff scheduling: housekeeping waves & front-desk coverage

Housekeeping is the biggest department in most hotels and the hardest to assign well, while the front desk peaks hard at check-in and check-out. Get the waves right and the property runs smoothly; get them wrong and rooms aren’t ready and the lobby backs up.

Departments & roles

A hotel shift spans several departments. Front desk agents and night auditors run reception; room attendants clean and prep rooms under a housekeeping supervisor; bell staff, maintenance and concierge provide support; a duty manager keeps it all coordinated. The daily assignment has to cover reception, the housekeeping floors, and support all at once.

Housekeeping in waves

Rooms don’t all turn at once, so housekeeping is assigned in waves matched to the day’s occupancy and checkout list:

Assign attendants to floors or sections, weight the board to where the checkouts are, and let the supervisor rebalance as rooms turn. An even split of rooms ignores that a checkout deep-clean takes far longer than a stay-over tidy.

Follow the checkout list, not the floor plan

Assign attendants to the floors with the most departures first so ready rooms flow to the front desk before the afternoon check-in rush — not evenly across a building that’s half occupied.

Front-desk peaks

Reception is a spikes-and-lulls job: check-out around 10am–noon, check-in around 3–6pm. Staff the desk to those peaks rather than flat across the day, and keep a manager reachable for the rush. Overnight, the night auditor covers reception and reconciles the day.

Covering a call-out

An attendant calls out and there are 40 rooms to turn. Redistribute the open rooms across the crew or pull in the nearest available staff, keep everyone else on their floors, and push the update so the front desk knows which rooms will be ready when. Minimal change, clear communication.

One board across departments

A printed housekeeping board is invisible to the front desk, and the desk’s plan is invisible to housekeeping — so nobody quite knows when rooms will be ready. A live board puts the whole property on one page: attendants see their floors, the desk sees room status, and a mid-shift change updates everywhere.

AssignMe speaks hotel: areas are floors and departments, roles are attendants, duty managers and support, and Tunza AI can wave housekeeping to the checkout list and rebalance a call-out in seconds. The board is free to run; the AI is an optional flat add-on.

Common questions

Can it handle housekeeping and front desk together?

Yes — attendants on floors, reception on the desk, and support (bell, maintenance) across the property, all on one board.

How do staff see their assignment?

They scan a read-only QR link and see their floors or desk hours on their phone — no account or app.

Does it work for multiple properties?

Yes — run a board per property, each with its own floors, departments and staff.
